Client & Inventory Management App - Luxury Moving Solutions

This app is used by moving-company staff to record client information and take room-by-room inventory during a move survey, and to generate paperwork (PDF and Excel reports) from that inventory. This policy explains what data the app handles and how.

Your data stays on your device

All client records, inventory, notes, and photos you enter are stored only in your browser's local storage, on the device you're using. This app has no database and no central server that stores your clients' information. The one exception is photos and documents you choose to send with AI Photo Scan or Document Import (below), which are sent only when you tap Scan or choose a document to import, and are not kept by us.

Because data is stored per-device, it does not automatically sync between devices or browsers. Use Settings > Export All Data to create your own backup file, and Settings > Import Data to restore one.

Information you enter

You may enter client names, addresses, phone numbers, email addresses, move dates, inventory details, notes, and photos. This information is used solely to generate the client's own paperwork (a "Weight & Cube Sheet" PDF and an Inventory Report in Excel) and to display it back to you within the app. It is not transmitted anywhere except when you personally choose to email or share a generated report using your device's own share/email tools, or when you export a backup file yourself.

Access code verification

To use this app, your company enters an access code. When a code is entered, it is sent to our server to check whether it's valid and which subscription tier it unlocks. Only the code you type is sent - no client data is included in this check. We keep a record of which codes are active so we can support the subscription (for example, to detect a cancelled or expired subscription).

Device limits. Each plan works on a limited number of devices. To count them, the app creates a random device ID the first time it runs in a browser and sends it, together with a short description of the device (for example, "iPad - Safari"), when your access code is checked - about once a day while you're online. We keep the device ID, that description, and the dates the device was first and last used, only to enforce your plan's device limit and to show your company which devices use the plan. The device ID is random: it is not your phone's hardware ID, advertising ID, or anything that identifies you, and no client data is included. A device's record is kept while the plan is active; you can remove a device in Settings > Plan & Billing.

Subscription purchases (Google Play)

If you subscribe or purchase through Google Play, your purchase is processed by Google. We receive a purchase token and order ID from Google Play to verify your purchase and activate your access code - not your name, payment details, or card information, which Google Play handles directly and does not share with us.

Optional and background lookups

A few small conveniences call outside, publicly available services:

None of these services receive your client's full record - only the specific ZIP code or address text needed for that one lookup.

Photos and camera access

If you use the camera or photo library to attach photos to an inventory item, those photos are resized and stored locally on your device, the same as the rest of your data. They are not uploaded anywhere automatically. Photos are only sent off your device if you choose to scan them with AI Photo Scan (see below).

AI Photo Scan (optional)

If your plan includes AI Photo Scan and you tap Scan, the photos you selected (up to 6 of one room) are sent from your device to our server and from there to our AI provider, Anthropic, to suggest which items from your item list appear in them. The request also includes the room name you selected and your company's item list (item names and sizes). No client record (name, address, phone number) is sent with the photos, and each photo is re-saved on your device before it is sent, which removes its location (GPS) and camera data. The photos themselves may show personal information that is visible in the room, such as mail or framed pictures, so keep it out of the frame where you can.

Document import. If your plan includes AI Photo Scan, you can also choose a document to import (a customer's list or another company's estimate: PDF, Word, Excel, CSV or text file, or photos of a paper list). The whole file is sent from your device to our server and from there to our AI provider, Anthropic, which suggests which items from your item list it contains, along with your room names and item list. The document can contain personal information, such as names, addresses and phone numbers, and it is sent as it is; the AI is instructed not to repeat it in its answer and the server removes obvious phone numbers, emails and links from the text it returns, but this is not a guarantee. Do not import documents that contain payment card, bank account or government ID numbers. As with photos, we do not store the document, any copy of it, or the results; the AI provider's handling is described below. We keep only the page count that is added to your allowance. Before the first import for each home, the app asks the surveyor to confirm that the customer agreed to the document being analyzed by an outside AI service; that confirmation (date, surveyor, name of the person who agreed, and the address) is saved with the client record on your device and printed on the survey PDF.

What we don't do

Data retention and deletion

This section explains how to delete your data from the Client & Inventory Management app by Luxury Moving Solutions.

Data on your device (client records, inventory, notes, photos, and user names and PINs) stays in the app's local storage until you delete it. Luxury Moving Solutions never receives this data (photos you send with AI Photo Scan pass through our server without being kept), so only you can delete it:

Export a backup first (Settings > Export All Data) if you want to keep a copy.

Data we keep is limited to your access code, its plan tier and status, the device records described above (random device ID, device description, first and last used dates), the monthly AI Photo Scan photo count for each access code, and, for each device that accepts the AI Photo Scan terms, the Terms version, date, device ID and whether an admin accepted, and, for Google Play purchases, the purchase token and order ID. To have this deleted, email garrett@luxurymovingsolutions.com with the subject "Delete my data" and include your access code or Google Play order ID. We will delete it within 30 days and confirm by email. Deleting it ends access for that code. We may keep the order ID and purchase date for as long as tax and accounting law requires. Payment details are held by Google Play and never by us.

Children's privacy

This app is a business tool for moving-company staff and is not directed at, or intended for use by, children.

Changes to this policy

If this policy changes, the "Last updated" date above will change. Continued use of the app after an update means you accept the revised policy.
